Library and Archives Policies

     
 

Because of the nature of archival and special library materials, The Lewes Historical Society has adopted the following policy in an effort to preserve these materials for future generations. Researchers using Society collections:

  • Must have Society staff obtain the requested material that is designated in "Restricted Access." This constitutes all archival material and rare library volumes. Will not re-shelve volumes.
  • Must use the materials at the Society's Hiram Rodney Burton House Library; NO materials may be removed from the Library. May be asked to wear protective gloves, which will be provided for you if necessary. ALL bags must be checked and remain in the Hiram Rodney Burton House Kitchen before entering the Library. Researchers will be required to present a driver's license or other valid form of ID.
  • Can request photo-duplications and/or photographic reproductions of materials. However, many materials are too fragile to be reproduced. Materials will not be reproduced if the process would result in irreparable damage. Schedule fee will be provided upon request. Please read the Society's photograph policy on the reverse of this sheet.
  • Must handle materials with care. It is preferred that patrons handle the materials as little as possible. Materials should not be left open to the same place for any length of time. Acid-free bookmarks will be provided if necessary. Such materials should be examined on the flat reading table in the Society's library where there is less chance that an item will fall to the floor accidentally.
  • Must use pencils when taking notes and use paper provided by the Society. Stray marks from ink pens and highlighters can destroy materials. If you do not have a pencil with you, ask and it will be provided for you. Laptops are permitted; outlets are available but no access to the Internet is provided for in the Library.
  • The Society retains copyright on most archival material in its possession as well as all artifacts in its museums. Researchers should familiarize themselves with copyright law. The Society is not responsible for copyright infringement on the part of researchers dealing with materials not under the copyright of the Lewes Historical Society. Collection credits, citations and references will be provided to patrons who copy from archival and/or museum collections at the Society. Your signature and identification number on this paper indicates that you have read ALL of these terms, are familiar with them and agree to abide by them.

  • Patrons and researchers must submit a description of proposed use to the Society prior to reproductions being executed. Multiple images of the print(s) in a single publication will be treated as a single image printed in a single publication. Any subsequent or different use constitutes a reuse and must be requested in writing. An additional fee may be charged for reuse. Patrons and researchers may not use a photographic image from Society collections as a dust jacket nor an end paper, nor use it in an advertisement or other commercial or similar nature, nor mass reproduced as unbound material without the expressed, written consent of the Lewes Historical Society.
  • Photographs reproduced from Lewes Historical Society collections may NOT be reproduced online without the expressed, written consent of the Society.
  • In granting a person authority to publish or use a photographic copy, the Lewes Historical Society does not surrender its own right to publish it or to grant permission to others to do so.
  • The patron or researcher may NOT permit others to reproduce the photographic copy or its facsimile.
  • The Lewes Historical Society reserves the right to limit the number of photographic copies; to restrict the use and reproduction of rare materials; and to levy special use fees in extraordinary circumstances.
  • One (1) complimentary copy of any published work in which the photograph appears shall be placed in the Library of the Lewes Historical Society at the time of publication. The Society requests that a copy of unpublished papers, etc. utilizing materials from its collections be deposited in the Library or Archives.
  • Failure to comply with these conditions will result in revocation of permission and denial of service in the future.

Photocopies & Photographic Reproduction Fee Schedule
 

Photocopies:

Photocopies of materials from the Library and/or Archives of the Lewes Historical can be made upon request. Occasionally, due to the volume of some requests, copies will need to be picked up at a later time. The Curator may deny any photocopy or reproduction request due to the condition of an object. All photocopies will be stamped noting the originals are from the Library of the Lewes Historical Society. NO EXCEPTIONS.

In lieu of price per page copying, the Society has adopted the following price ranges:

  • 1 - 10 : FREE
  • 11 - 30 : $3.00
  • 31 - 50 : $4.00
  • 51 - 70 : $6.00
  • 70 - 100 : $8.00
  • 101 + : Special arrangements

Photographic Reproductions:

All LHS photographic reproductions are handled by the Society and are performed by Atlantic Color Labs of Rehoboth Beach, Delaware and Ocean City, Maryland. The fees below represent Atlantic Color Lab costs as well as costs incurred by the Society in reproduction. All reproductions will be stamped on the back noting they are under the copyright of the Lewes Historical Society.

  • 35 mm negative to print : $3.00/neg.
  • Medium format negative to 5 x 7 print : $8.00
  • Medium format negative to 8 x 10 print : $11.00

Prints-to-Prints:

  • Any print to 8 x 10 print : $14.00
  • Any print to 5 x 7 print : $9.00
  • Any print to 4 x 6 print : $7.00
